Record keeping
Operators of equipment which is required to be checked for leaks pursuant to Article 4(1) shall establish and maintain records for each piece of such equipment specifying the following information:
a) the quantity and type of fluorinated greenhouse gases;
b) the quantities of fluorinated greenhouse gases added during installation, maintenance or servicing or due to leakage;
c) whether the quantities of installed fluorinated greenhouse gases have been recycled or reclaimed, including the name and address of the recycling or reclamation facility and, where applicable, the certificate number;
d) the quantity of fluorinated greenhouse gases recovered;
e) the identity of the undertaking which installed, serviced, maintained and, where applicable, repaired or decommissioned the equipment, including, where applicable, the number of its certificate;
f) the dates and results of the checks carried out under Article 4(1) to (3);

Operators shall keep the records for at least five years.
On request, the records shall be made available to the competent authority of the State.
For the purposes of Article 11(4), undertakings supplying fluorinated greenhouse gases shall establish records of relevant information on the purchasers of fluorinated greenhouse gases, including the following details:

b) the respective quantities of fluorinated greenhouse gases purchased.
Undertakings supplying fluorinated greenhouse gases shall maintain those records for at least five years.
Recording of the checks carried out
Leak checks for fluorinated greenhouse gases carried out at the prescribed frequencies must be recorded in specific registers (Equipment Registers and Fire Protection System Registers).
Each piece of equipment (even if made up of several circuits) must have its own Register, in which the following general information must be entered:
· Operator details;
· Type of equipment (refrigerator, heat pump, air conditioner, etc.);
· Quantity and type of F-gas contained;
· Equipment code (corresponding to the serial number);
As regards the checks, on the other hand:
· Quantity of any F-gas added following leaks found;
· Quantity of any F-gas recovered during the repair work;
· Details of the company responsible for the check (including the certification details of the personnel – see below);
· Date on which the check was carried out;
· If the equipment is decommissioned, the details of the company responsible for its removal and dispatch for recovery/disposal and the measures taken to recover the gases contained in it must be recorded.
